Reports to: Community Connections Manager



  • Organize attendance lists for all activities and input data into Client Management Database keeping information up to date and accurate
  • Gather and sort statistical data for monthly, quarterly and project reports
  • Able to work in a fast-paced, task oriented team environment
  • Liaise with accounting department and provide basic accounting support to team members including but not limited to VISA transactions, invoices and petty cash
  • Greet clients/suppliers/visitors to the organization in a professional/friendly manner delivering initial program orientation
  • Proficient in Microsoft Office (Word, Excel, Access and Outlook) to prepare reports, memos, and documents as required
  • Answer general phone inquiries in a professional and courteous manner
  • Forward incoming general e-mails to the appropriate staff member
  • Direct phone inquiries to the appropriate staff members
  • Respond to requests with most current and accurate information
  • Assist second language learners/members who come from a variety of cultures with professionalism, understanding and the utmost respect
  • Provide administrative support to management and other staff as required
  • Support staff during events and assist with special projects
  • Purchase, receive and store office supplies and equipment; ensure supplies are always available
  • Maintain inventory records and capital costs
  • Assist manager as needed
  • Other duties as assigned


  • Post-secondary education preferred
  • Minimum two years administrative experience
  • Superior office management, organizational and time management skills; highly skilled working in a busy environment and multi-tasking
  • Skilled in organizing/keeping track of tasks, deadlines and priorities
  • Excellent interpersonal and teamwork skills; sincere interest in assisting culturally-diverse young and adult learners, offering assistance and presenting a friendly and professional attitude at all times
  • Skilled in providing excellent administrative/front desk support to clients and staff
  • Experienced providing basic accounting, bookkeeping and finance assistance
  • Skilled in answering a multi-line phone system with a friendly, polite and professional manner
  • Tactful and encouraging when assisting clients, highly flexible and able to adapt to the needs of students and staff as needed
  • Excellent English communication skills in listening, speaking, reading and writing
  • Excellent computer skills using Microsoft Office. (Word, Excel, Access, Outlook and Internet)
  • Skilled in using office equipment, including but not limited to: fax, copier, voicemail, computer, visual aids, etc.
