The Centre for Spanish Speaking Peoples (CSSP) has been serving the Spanish-Speaking community of the GTA since 1973. CSSP has built a strong reputation and connection to the community by providing appropriate and effective services in multiple areas through an internal network of complementary programs. Currently, CSSP has a Settlement program, a Legal Clinic, a Violence Against Women Prevention program, an HIV/AIDS Prevention program, a Youth Program, and a Volunteer program in addition to a wide variety of partnership projects.


Organizational Funding

  • Preparation and submission of funding applications
  • Coordinating the collection of statistics with staff
  • Preparation and coordination of reports:
    Monthly, quarterly, end of year reports and ad-hoc reports to funding bodies

Program Management

  • Oversee overall deliverables per program
  • Review and approve programs expenses
  • Program Services and Delivery:
    Prepare and follow up on Programs yearly activity plans
  • Facilitate Programs’ meetings
  • Assist in the design of Programs’ policies and procedures
  • In collaboration with Programs Staff, prepare and follow up service protocols (e.g. client intake, and reception)
  • Monitor progress/implementation of programs activities ( according to service contracts with funders)
  • Receive and respond to client’s concerns and complaints
  • Respond to daily requests/arising needs of programs: programming/service delivery, administrative, logistics, staffing among others
  • Review and approve programs expenses
  • Prepare PSD report to Board

Community Development

  • Participate in Community Groups as requested
  • Seek partnership initiatives
  • Participate in outreach initiatives as needed
  • Write support letters (volunteers and for other community organizations)
  • Responding to request/inquiries from community groups/individuals
  • Provide (organizational) support to Community Agencies
  • Participate in collaborative planning and partnership building activities
  • Represent the CSSP in partnership as required
  • Serve as Spokesperson for the CSSP on relevant issues related to programming (within and outside our community)

Personnel/Human Resources

  • Hiring Processes:

    Review job postings/ job descriptions/ Coordination and lead of hiring committee

  • Develop hiring process tools: screening tool, interview questions, practical assignment, and reference check questionnaire
  • Check work references
  • Prepare Employee’s Contracts
  • Conduct performance evaluation for all direct reports 
  • Facilitating staff meetings
  • Dealing with Individual program issues
  • Authorize Staff Development requests with Executive Director
  • Analyze and authorize staff training request
  • Staff Supervision
  • Staff Time Management:Receive and approve overtime, vacation, and leave requests, among others
  • Receive and approve staff’s monthly timesheets
  • Respond to Staff inquiries about time records
  • Prepare Staff status reports
  • Review time records with staff on a yearly basis (only for non-legal clinic staff)
  • Follow up on the staff’s work plans
  • Maintain Personnel files (non-legal clinic staff)
  • Provide information to Bookkeeper for payroll purposes
  • Respond to employee’s various concerns: issues arising among employees and HR and admin matters
  • Review and keep up-to-date job descriptions and develop current perform appraisals

Union Relations

  • When necessary, assist following up grievance processes
  • Apply Collective Agreement (CA), board directives and Employer/Employees Relations Committee (EERC) approved decisions
  • Consult and maintain communication with Union Stewards for various issues: hiring, interpretation of CA, benefit plan, employees concerns, procedures and processes among others
  • Provide support to Board, Executive Director and Consultants


  • Assist coordinating logistics of various meetings and special events (Board, Staff, Community Organizations and the Children’s Christmas Party)
  • Minute-taking, in the absence of Administrative Assistant
  • Respond to various staff requests: new initiatives, and maintenance among others
  • Assist in administrative matters
  • In the absence of the ED:
    • Maintain closer communication with Union and Board; respond to arising Union matters/issues
    • Respond to arising property management issues
    • Deal with funders and community organizations requests
  • Respond to emergencies and any other issues as required (financial, non-union staff concerns, admin issues among others


  • Proven experience working in the non profit sector with marginalized communities
  • Bachelors Degree in a relevant field (or equivalent combination of education and experience)
  • Strong proposal writing skills
  • Working in a unionized environment preferred
  • Ability to organize workloads and set priorities; must be able to maintain and create a positive attitude
  • Adept in the use of MS Office applications (Word, Excel, Outlook, PowerPoint, etc.) within a Mac environment
  • Flexible, adaptable and responsive to change
  • Well-developed analytical skills
  • Pro-active approach to relationship building with all levels of employees
  • Strong problem solving and conflict resolution skills
  • Ability to work under pressure
  • Excellent verbal and written communication skills
  • Fluency in Spanish is an asset
  • Flexibility to work non-business hours on occasion to meet organizational needs
  • knowledge of the underlying causes of poverty, and social determinants of health
  • Demonstrated commitment to working within an anti-oppressive framework
  • Solid commitment to work with equity-seeking groups, such as the LGBT Hispanic community.
