POSITION:         Tax Clinic Administrator

REPORTS TO:    Program Coordinator/Manager

WORK HOURS: 25 hours/week from Feb to March 31, 2025

                               20 hours/week from April 1 to May 4, 2025 

RATE OF PAY:    $23 per hour

JOB SUMMARY:

Through the Canada Revenue Agency's Community Volunteer Income Tax Program (CVITP), the Tax Clinic Administrator assists the Coordinator/Manager to plan and run the income tax preparation clinic offered by DBNC. DBNC Tax Clinic is open from March through April of each tax preparation year. The Tax Clinic Administrator serves as the point of contact for volunteers in the clinic and the Settlement Coordinator/Manager. To guarantee the tax preparation clinic's effective launch, the Tax Clinic Administrator also collaborates closely with the Volunteer and Outreach Officer of the Canada Revenue Agency.

DUTIES AND RESPONSIBILITIES:

  • Planning and overseeing the income tax preparation clinic 
  • Assist Coordinator/Manager in recruiting, training and supporting tax preparation volunteers, placement students.
  • Completion of client intakes to determine their eligibility for the CVITP
  • Collecting required information and documents from eligible clients for tax preparers. 
  • Assigning eligible clients to a tax preparation volunteer 
  • Scheduling volunteers for shifts
  • Responding to email inquiries from prospective clients 
  • Regularly communicating with the tax preparation clinic’s volunteers 
  • Maintaining a high degree of confidentiality and privacy while adhering to established policies regarding the removal of confidential information and documents 
  • Prepare and organize drop-off tax packages for tax preparers 
  • Review completed tax returns and contact clients for pick-up 
  • Maintain required statistical records for tax preparation and reporting purposes 
  • Conduct group information sessions for newcomers on Understanding Income Taxes on a regular basis as per client appointment booking.

QUALIFICATIONS:

  • Completion of post-secondary education: diploma in Community service, Business, Accounting or a combination of education, training and experience deemed to be equivalent. 
  • Minimum of one year of relevant experience in the field of accounting or office administration. 
  • Knowledge of the basic income tax preparation 
  • Ability to speak a second language considered an asset 
  • Social Insurance Number (SIN) that is valid until at least January next year
  • Proficiency with use of computers and Microsoft Office, Microsoft Teams and Zoom 
  • Strong interpersonal, public relations skills, and organizational skills 
  • Strong leadership, communication and initiative skills 
  • Analytical, problem solving and time management skills
  • Administrative skills and strategic planning abilities 
  • Ability to work cooperatively with staff and volunteers in a team environment 
  • Demonstrated success in working well with individuals from diverse backgrounds 
  • Mandatory police check – completed within the last six months and to be completed upon hire.
