POSITION: Director of Finance and Operations

REPORTS TO: Executive Director

WORK HOURS: 40 hours per week

RATE OF PAY: $105,000.00-CA$110,000.00 per year

EMPLOYMENT TERM: Full-time permanent position

JOB SUMMARY:

The Finance and Operations Director contributes to DBNC’s overall mission, vision, and values by leading and supporting seamless fiscal, operational, and IT management systems, procedures, and processes. Reporting to the Executive Director, the Director will play a pivotal role in day-to-day financial and operational management, strategic improvement partnerships, and supervision of finance, operations, and IT staff.

Oversee all aspects of finance and operations, including financial reporting and analysis, internal controls and auditing, compiling reports to ministry funders, and preparation, submission, and monitoring of the annual budget

 

Management and Leadership

· Define the budget associated with the organizations strategic positioning and approach in order to meet appropriate objectives and organizational action plans

· Oversee the Finance Team and Operations Administrator and relevant contractors to ensure that they have the required tools; processes and information to meet the organizations goals and analyze any deficiencies

· Support market sector analysis to source and identify new opportunities and partnerships

· Assist in the design and implementation of new financial processes or initiatives

· Contribute as a mentor and member of the Leadership Team to the overall operation and strategic development of the Agency

· Assist with performance management, succession planning, employee engagement, and compensation and benefits.

 

Financial Monitoring and Reporting

· Lead the research and designing of innovative financing solutions for all levels of the organization

· Ensure the organization remains compliant with protocols for funders, audits and CRA

· Manage the annual audit process and serve as the primary liaison with the audit firm.

· Lead the organization’s financial management technology-based solutions and platforms

· Support Managers through the due diligence process of financial reporting

· Annual preparation of budgets for the organization and individual programs, including the submission of proposals to potential funders

· Deliver monthly and ad hoc financial reports for the Executive Director, Finance and Audit Committee and the Board of Directors.

· Manage the cash position, investments, and bank reconciliations, Prepare and deliver position and portfolio-level reporting

· Negotiate, prepare and monitor all vendor and consultant contracts

· Ensure financial integrity in grant management, including budget adherence and reporting

· Presentation of budget, financial considerations, management discussion and analysis to the Board and/ or external partners or public where relevant and solicit input/feedback where necessary

· Present investment and other initiatives/projects to the ED and Board for discussion and approval

 

Oversee IT systems, ensuring they are secure and meet organizational needs.

· Oversee coordination of cybersecurity training and maintain IT-related policies and procedures.

· Develop an annual IT and communications equipment upgrade plan in conjunction with IT provider and Operations Manager.

 

Liaison with property owners regarding leases, tax rebates, and security.

· Oversees the management and implementation of office services such as accommodations, equipment, supplies, and maintenance. · Ensure emergency and business continuity plans are in place and regularly updated.

 

QUALIFICATIONS:

QUALIFICATIONS AND SKILLS

· A CPA/ CGA designation and a University degree or equivalent in accounting, commerce or business administration, with understanding of accounting principals.

· Experience in financial management within a service-oriented program and federal and provincial legislation affecting charities/ non-profits

· Knowledge of GAAP requirements in a non-profit environment

· Strong leadership and supervisory skills, and operations accountability.

· Exceptional interpersonal skills, a collaborative style and effective communication at all levels.

· Strong knowledge of technology and computer systems.

· Proven experience working with databases at a strategic level.

· Ability to work effectively in a multi-disciplinary and multicultural team environment and the ability to coordinate, direct and manage priorities of a team.

· Minimum of five – seven years management experience preferably in a complex non-profit environment.

· Good understanding of processes, policies, and procedures required. Excellent English verbal and written communication skills
