Summary

Building Multicultural Communities (BMC) is a charity, established in 1987, that provides settlement and social services to newcomers, immigrants and the larger community in the Peel Region. Our mandate and core business is to enable less advantaged individuals, families and groups in the community to reach their full potential, enhance their life skills, and create a better future.  BMC has a variety of specialized programs that cater specific demographics and focus on providing different services such as (Settlement, Mental Health, Youth Development, Employment, and Seniors Support) making BMC a one-stop-shop for needed services. The HR Administrator is crucial in supporting the HR department and senior executives by providing administrative assistance, managing schedules, handling correspondence, coordinating meetings, and performing various organizational tasks. This role demands strong organizational skills, attention to details, and effective multitasking abilities.

RESPONSIBILITIES

  • Assist with the recruitment process, including drafting job descriptions, pre-screening candidates, coordinating and participating in interviews, and conducting reference checks.
  • Assist with HRIS and payroll administration, including processing employee status changes, employee movements, and preparing biweekly payroll reports.
  • Chair quarterly Joint Health and Safety Committee (JHSC) meetings and conduct monthly workplace inspections. Administer WSIB and workplace incident reports, prepare meeting minutes, and ensure accurate and timely documentation.
  • Track, maintain, and report on key HR metrics, including payroll, employee entitlements, headcount, and attendance.
  • Coordinate and facilitate the onboarding process for new hires and maintain accurate and up to date employee personnel files
  • Support the administration of the group benefits plan and respond to employee inquiries regarding benefits and coverage.
  • Conduct workplace investigations, including gathering information, conducting interviews, maintaining appropriate documentation, and preparing investigation reports and recommendations
  • Develop and deliver HR-related training for staff, including identifying training needs, creating relevant content and materials, delivering presentations, and facilitating engaging training sessions.
  • Prepare documents, reports, presentations, correspondence, and other materials as required.
  • Coordinate meetings, conferences, and events, including scheduling, logistics, and preparation and distribution of required materials.
  • Conduct research and gather information as requested by executives, providing clear summaries, reports, and analyses as required.
  • Support executives with the implementation and coordination of projects, initiatives, and special assignments.
  • Exercise sound judgment and maintain strict confidentiality when handling sensitive employee, organizational, and business information.
  • Attend staff meetings, training sessions, and other organizational meetings as required.
  • Support HR and BMC communications, proposals and funding applications, program operations, and special projects as required.
  • Support the Annual Performance Evaluation process, including coordinating timelines, preparing documentation, tracking completion, and providing administrative support to employees and supervisors.
  • Any other related duties complementary to the job
  • Reports to CEO or designate

QUALIFICATIONS/SKILLS

  • Post-secondary education in Human Resources Management or an equivalent combination of education and minimum 1 year of Generalist experience. CHRP candidate is preferred
  • Understanding of not-for-profit and settlement services sector is an asset
  • Knowledge of employment laws, employee relations practices and HR disciplines
  • Strong influencing and negotiating skills to present alternatives, resolve conflicts and minimize high-risk situations and the ability to quickly establish credibility
  • High integrity with the ability to deal with confidential, sensitive information with a high degree of professionalism
  • Well organized, team player who is able to take initiative, manage change, prioritize, multi-task and meet deadlines with minimal supervision
  • Strong presentation skills, including content development and facilitation.
  • Strong communication (oral and written), and computer skills (Word, Excel, PowerPoint, Outlook), Social Media (Facebook, Twitter, LinkedIn etc.)
  • Flexible to work evenings or weekends if and when required
  • Police Record Check for Vulnerable Sector is required at your own expense
  • Must own vehicle and a valid driver’s license, and liability insurance that covers your vehicle to be used for job related travelling as and when needed.
