OCASI was founded in 1978 and now has over 250 member agencies across Ontario.

Position Overview 

The Grant Administrator, Equity Stream Fund, will ensure the compliance and fund administration of the IRCC funding to Grassroots Community Organizations (GCOs) that serve and represent equity-seeking groups, including those serving Black and Racialized communities, Women, LGBTQI+ communities, People with Disabilities, Seniors, and Youth. The Grants Administrator facilitates the OCASI’s grant-making operations through all stages of the process. This position is responsible for managing and monitoring all grants awarded by OCASI and ensuring consistent grant processing.

The Grant Administrator, Equity Stream Fund acts in a manner which is consistent with responsible and ethical practice and works at OCASI with a commitment to anti-oppression, including equity, access to services, anti-racism, anti-homophobia, anti-transphobia, and anti-poverty as it relates to immigrants and refugees.The Grant Administrator- Equity Stream Fund will have a commitment to and awareness of equity, access to services, anti-racism and anti-oppression, gender-justice and anti-poverty as it relates to immigrants and refugees.

Key Responsibilities 

  • Assist in the development of the project’s financial guidelines.
  • Ensure that grants are administered according to the guidelines and compliance requirements set by OCASI and IRCC.
  • Monitor the budget and financial activities associated with grant recipients including monthly collection of Year- to-Date general ledgers and source documents from grant recipients to support funder audits
  • Reporting: Preparing and submitting regular reports on the status and progress of the grant-funded projects.
  • Provide clear, consistent guidance and concise instructions on grant administration policies to grantees.
  • In collaboration with the Senior Coordinator, oversee the entire grants process, including, tracking, compiling and processing payments for
  • proposals, while ensuring all documentation complies with funding and legal requirements.
  • Work collaboratively with OCASI’s finance team to ensure complete and accurate records of all project’s expenditures
  • Communication: Acting as a liaison between the GCOs and OCASI
  • Documentation: Maintaining accurate records and documentation for all grant-related activities.
  • Work with other members of the Membership and Equity Team, to ensure effective coordination and communication on the day to day operations and progress of tasks.
  • Coordinates monitoring visits with grantees.
  • Attend Project Advisory Committee and Selection Committee meetings. 
  • Receive and complete initial assessment of grant applications and prepare for committee review.
  • Assists members of the Selection Committee in the review of project proposals.
  • Lead the development of grant award letters and agreements once grantees are selected, using standard professional terms and language.
  • Demonstrated ability in performing administrative tasks

Required Qualifications 

  • Relevant post secondary education in financial management, non-profit management, public management and business administration or an acceptable combination of education and experience working in the non-profit sector
  • Minimum of 3 years of experience as a grant administrator or similar role in a non-profit or community-based agency in the immigrant services sector or other relevant community and social services sector.
  • Proven knowledge and experience in project management.
  • Knowledge of promising practices relating to Equity and Social Justice within the immigrant and refugee serving sector.
  • Detail-oriented with strong organizational planning skills and the ability to meet tight deadlines and demanding schedules.
  • Good judgment, problem solving and conflict resolution skills
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Sound knowledge and understanding of immigrant and refugee sector issues, settlement processes/issues, barriers and information needs of newcomers.
  • Excellent knowledge and skills of budgeting, bookkeeping, and reporting.
  • Excellent verbal and written communication skills including data analysis, report writing and presentation skills. with an ability to communicate with a broad range of stakeholders.
  • Strong team building, collaboration and relationship building skills as well as the ability to establish rapport with members, partners and volunteers.
  • Good judgment, problem solving and conflict resolution skills. 
  • Proficiency with computers and programs.
  • Ability to function in a multidisciplinary, culturally diverse workplace.
  • Ability to work both independently and as part of a team environment.
  • Demonstrated commitment to principles of social justice, cultural competency as well as equity and inclusion.

 Employment Details:

  • Salary is $52,501 plus benefits, unionized with Unifor Local 87M
  • Job type: Full-time position based on 35 hours per week
  • Some overnight travel within Canada may be required

*OCASI currently operates within a Hybrid workplace model.
